Privacy Policy for LLM Cleanup & Other Google Addon’s

Introduction

LLM Cleanup (“we“, “our“, or “the Add-on“) is a Google Docs add-on that helps users format and clean up document content. We are committed to protecting your privacy and being transparent about our data practices.

In Short: We collect NO user data, NO document content, and NO personal information. Everything runs locally within Google Docs.

Compliance Statement

LLM Cleanup is:

  • ✅ GDPR Compliant – No personal data collected or processed
  • ✅ CCPA Compliant – No personal information sold or shared

  • ✅ Safe for Schools and Classrooms

What Data We Collect

User Data: NONE

We do NOT collect, store, transmit, or process any:

  • Document content
  • User names or email addresses
  • Personal information
  • Usage analytics or telemetry
  • Location data
  • Device information
  • Search queries
  • Browsing history

Settings Data: Local Only

The ONLY data stored is your personal preferences (settings), which include:

  • Line spacing preferences
  • Table styling preferences
  • Which cleanup options you have enabled
  • Custom presets you’ve created
  • Custom table themes you’ve designed

How Settings Are Stored:

  • Stored locally in Google Apps Script Properties Service
  • Private to your Google account only
  • Never transmitted to external servers
  • Never shared with third parties
  • Never used for analytics or tracking
  • Automatically deleted when you uninstall

How Your Documents Are Processed

Local Processing Only

All document formatting and cleanup happens entirely within Google Docs:

  1. You open a Google Doc
  2. You run LLM Cleanup
  3. The add-on reads your document content within Google’s infrastructure
  4. Formatting changes are applied within Google’s infrastructure
  5. Results are saved within your Google Doc

Your document content:

  • ❌ Never leaves Google’s servers
  • ❌ Never sent to our servers (we don’t have any!)
  • ❌ Never transmitted to third-party services
  • ❌ Never stored by us
  • ❌ Never analyzed or tracked

PII Features

LLM Cleanup includes optional features to scan for or redact Personally Identifiable Information (PII):

PII Scanner (Highlighting):

  • Highlights emails, phone numbers, and SSNs in your document
  • Processing happens entirely within Google Docs
  • No data is extracted or transmitted
  • Used to help YOU identify sensitive information

PII Redaction:

  • Replaces emails, phone numbers, and SSNs with [REDACTED]
  • Processing happens entirely within Google Docs
  • Shows you a summary of what was redacted
  • Summary is displayed in a temporary modal (not stored)

Important: We never see, store, or transmit any PII from your documents.

Google Permissions Required

LLM Cleanup requests the following Google permissions:

1. View and Manage Documents That This Application Has Been Installed In

Why We Need This: This is the core functionality – reading your document content to apply formatting changes.

What We Do With It:

  • Read paragraph text to apply formatting rules
  • Modify text styling (fonts, spacing, bold, etc.)
  • Style tables
  • Convert markdown syntax
  • Apply layout settings

What We DON’T Do With It:

  • We don’t store document content
  • We don’t transmit content to external servers
  • We don’t analyze or track what you write

2. Display and Run Third-Party Web Content in Prompts and Sidebars Inside Google Applications

Why We Need This: To show the settings sidebar and export dialogs.

What We Do With It:

  • Display the settings panel
  • Show export options
  • Display help documentation
  • Show confirmation dialogs

What We DON’T Do With It:

  • We don’t embed ads or tracking scripts
  • We don’t load external resources
  • We don’t communicate with external servers

3. Connect to an External Service

Status: NOT CURRENTLY USED

Why It’s Listed: Reserved for potential future features (e.g., cloud-based custom themes, premium licensing validation).

Current State: No external connections are made. All processing is local.

If We Add External Features: We will update this privacy policy and request your consent before enabling any external connections.

Third-Party Services

We use ZERO third-party services:

  • ❌ No analytics (Google Analytics, etc.)
  • ❌ No error tracking (Sentry, etc.)
  • ❌ No cloud storage
  • ❌ No API calls
  • ❌ No advertising networks
  • ❌ No social media integrations

Cookies and Tracking

We do NOT use:

  • Cookies
  • Web beacons
  • Pixel tags
  • Fingerprinting
  • Session tracking
  • Cross-site tracking

Data Retention

Settings: Stored indefinitely in your Google account until you uninstall the add-on. When you uninstall, your settings are automatically deleted by Google’s Apps Script service.

Document Content: We never store your document content, so there is nothing to retain or delete.

Data Sharing

We share your data with: NO ONE.

We do not:

  • Sell your data
  • Share your data with advertisers
  • Share your data with data brokers
  • Share your data with third parties
  • Use your data for any purpose except providing the add-on functionality

Children’s Privacy (COPPA Compliance)

LLM Cleanup is COPPA compliant and safe for children under 13.

We do NOT:

  • Collect personal information from anyone, including children
  • Require account creation
  • Track usage or behavior
  • Display advertisements
  • Enable social features or chat

For Schools and Teachers:

  • Safe for K-12 classroom use
  • No parental consent required (nothing to consent to!)
  • Student-Safe preset automatically redacts PII
  • No external data transmission
  • FERPA compliant – protects student education records

Student Education Records (FERPA Compliance)

LLM Cleanup is FERPA compliant:

  • We do not collect, maintain, use, or share student education records
  • All processing happens locally within Google Docs
  • No student work is transmitted to external servers
  • Teachers retain full control over student documents
  • Use the Student-Safe preset for safe document sharing

Your Rights

Since we collect no data, there is no personal information to:

  • Access
  • Correct
  • Delete
  • Export
  • Restrict processing of

However, you can:

  • Uninstall the add-on at any time from Extensions → Add-ons → Manage add-ons
  • Delete your settings by uninstalling (automatic)
  • Use Google’s version history to undo any formatting changes

Security

While we don’t handle or store your data, we take security seriously:

Code Security:

  • No external dependencies that could introduce vulnerabilities
  • Regular security reviews
  • Transparent privacy practices

Google’s Security:

  • Your documents are protected by Google’s enterprise-grade security
  • All processing happens within Google’s secure infrastructure
  • Google’s access controls and encryption apply

International Users

LLM Cleanup operates entirely within Google’s global infrastructure. Your document processing happens in the Google data center serving your region. We don’t have our own servers and don’t transfer data internationally.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make significant changes, we will:

  1. Update the “Last Updated“ date at the top
  2. Notify you through the add-on interface
  3. Require your consent if new permissions are needed

Legal Basis for Processing (GDPR)

We don’t process personal data, but for transparency:

  • Settings storage: Necessary for the performance of the service
  • Document processing: Done at your instruction (you click “Run Cleanup“)
  • Optional features: Based on your explicit consent (you enable specific features)

California Privacy Rights (CCPA)

Under the California Consumer Privacy Act (CCPA):

  • We do not sell personal information
  • We do not share personal information for cross-context behavioral advertising
  • We do not collect sensitive personal information beyond what’s necessary

Since we collect no personal information, there are no CCPA rights to exercise.

Google API Services User Data Policy

LLM Cleanup’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only use the data to provide and improve LLM Cleanup’s features
  • We do not transfer data to third parties
  • We do not use data for advertising
  • We do not allow humans to read data (we don’t store it!)

What this means in simple terms:

  1. We see nothing: Your documents are processed locally in Google Docs. We never see your content.
  2. We store nothing: The only thing saved is your personal preferences (like “use 1.5 line spacing“), stored privately in your Google account.
  3. We share nothing: There’s nothing to share because we don’t collect anything!
  4. Safe for everyone: Schools, businesses, personal use – everyone is protected because there’s no data to protect.
  5. Delete anytime: Uninstall the add-on and your settings are automatically deleted. Your documents remain untouched in Google Docs.
